Common Cents Business, a locally owned firm, is seeking a dependable, organized, and personable Client Services & Bookkeeping Coordinator to join our team. This is a hybrid position combining bookkeeping responsibilities, client service, administrative support, and tax-office coordination.
Prior tax-office experience and tax knowledge are not required. We are willing to train the right person on our tax-office procedures, software, and client pickup process. The ideal candidate will have a strong bookkeeping foundation, excellent client-service skills, attention to detail, and a willingness to learn.
Primary Responsibilities
Bookkeeping
- Perform recurring bookkeeping services for assigned clients
- Categorize transactions and maintain accurate general ledgers
- Reconcile bank, credit card, and loan accounts
- Review financial records for missing information or unusual transactions
- Assist with bookkeeping cleanup and year-end preparation
- Communicate with clients regarding missing documents and bookkeeping questions
- Prepare organized financial information for review by the firm’s enrolled agents
- Maintain accurate notes regarding outstanding items and completed work
Client Service and Tax Office Support
- Greet clients and provide professional front-office assistance
- Answer incoming telephone calls and route questions appropriately
- Schedule appointments and assist with general client inquiries
- Accept tax-document drop-offs and confirm that required intake information has been received
- Scan, organize, and securely route client documents
- Contact clients regarding missing tax documents, signatures, or other administrative items
- Assist clients with accessing and using the firm’s secure online portal
- Coordinate completed-return pickups and electronic delivery
- Provide clients with a high-level summary of their completed tax return using information prepared or approved by an enrolled agent
- Escalate tax questions, tax-planning questions, and technical matters to an enrolled agent
- Obtain required signatures, collect payments, and confirm that pickup procedures are completed
- Support enrolled agents with document organization, workflow tracking, client follow-up, and administrative tasks
Important Scope of the Position
This is not a tax-preparer position, and prior tax knowledge is not required.
The employee will be trained to explain the general layout and summary figures of a completed tax return after it has been reviewed by an enrolled agent. This position does not independently provide tax advice, interpret tax law, recommend tax positions, prepare or make changes to a return.
Qualifications
- Previous bookkeeping, accounting-support, or comparable financial-recordkeeping experience
- Working knowledge of basic bookkeeping concepts
- Strong reconciliation and problem-solving skills
- Excellent written and verbal communication skills
- Professional and welcoming manner when working with clients
- Strong attention to detail and commitment to accuracy
- Ability to organize documents and manage multiple deadlines
- Comfortable learning new software, procedures, and terminology
- Ability to recognize when a client’s question should be referred to an enrolled agent
- Ability to maintain strict confidentiality when handling tax and financial information
- Dependable attendance and the ability to work effectively during busy tax-season deadlines
Preferred but Not Required
- Experience with QuickBooks Online or similar bookkeeping software
- Experience working in an accounting, tax, bookkeeping, banking, or professional-services office
- Familiarity with TaxDome, Drake Tax, Microsoft Office, or similar software
- Experience communicating with clients about financial documents
- Experience reviewing financial statements or preparing bookkeeping records for tax preparation
Candidates should not be discouraged from applying if they do not have tax-office experience. We are willing to train a dependable candidate who has the right bookkeeping foundation, client-service abilities, and willingness to learn.

- Compensation: $21–$26 per hour, based on experience
