Texas Cotton Growers Cooperative Association is an agricultural cooperative that focuses on the movement of materials from Central Texas cotton gins to textile mills around the world. With 3 locations serving 250+ grower-owners, we pride ourselves in providing exceptional service to our industry.
ABOUT THE ROLE:
We are seeking an individual to oversee the daily operations of the cooperative’s office.

DUTIES AND RESPONSIBILITIES:
- Provides ongoing bookkeeping and administrative support to the office, driving organizational success through the management of daily operations and special projects.
- Provides coordination of human resource paperwork for the organization including new employee office set-ups, background checks and on-boarding.
- Supports company operations by maintaining office systems and supervising staff.
- Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving office supply requisitions; assigning and monitoring clerical functions.
- Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
- Maintains office efficiency by planning and implementing office systems, layouts, and supplies or equipment procurement.
- Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Maintains office staff by recruiting, selecting, orienting, and training direct employees.
- Maintains office staff job results by coaching, counseling, and disciplining direct employees; planning, monitoring, and appraising job results.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Contributes to team effort by accomplishing related results as needed.

- Direct: 1-2 Employees
- Indirect: 6-10
JOB REQUIREMENTS:
- Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
- Experience with bookkeeping, receipt, invoicing and payment tracking
- Ability to communicate orally with customers, vendors, management, and other co-workers
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular) and Google applications
- Hands on experience with office machines (e.g. fax machines and printers)
- Familiarity with scheduling tools
- Excellent time management skills and ability to multi-task and prioritize work
- Extreme attention to detail and excellent problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
EDUCATION OR EXPERIENCE:
High School degree; additional qualification as an Executive Assistant, Bookkeeper or Office Manager of 2-5 years. Willing to seek and attend additional continuing education, seminars, classes, or other job-related education requirements or opportunities.
PHYSICAL ENVIRONMENT:
- The incumbents primary work setting will be in an office and may on occasion need to enter a warehouse environment for short periods
- The incumbent may have prolonged periods sitting at a desk
- The incumbent will use computers, telephone, and other office equipment in the course of the workday
- The incumbent must be able to lift up to 20 pounds at times
